Create Your Event in Google Calendar

Our Google Calendar integration allows you to create Livestorm events directly from your Google Calendar and have them fully synchronized afterward. You'll be able to edit and join your virtual events in just a few clicks directly from your Google Calendar. This is perfect for creating your online meetings in just a few clicks!

Google Calendar Integration Specifications

  • You can create a Livestorm event in Google Calendar with up to 200 invitees. if you're planning to invite more than 200 people, create your event directly from your Livestorm dashboard not from Google Calendar.
  • By default, the speaking permission of the Livestorm event you're creating in Google Calendar is set to "Everyone can speak".
  • If you create recurring events in Google Calendar, you will be able to get an access link to your Livestorm room, access the room for each session, and invite guests for each session, but you won't be able to see all the sessions in your Livestorm dashboard at the moment. You will only see the first session and will have to rely on your Google Calendar for recurring events.
  • The Google Calendar integration doesn’t support group emails such as “product-team@acme.co”. It won’t register people in the group and will register “product-team@acme.co” as if it was a single registrant. That could lead to issues since everyone in the group will receive the same access link and on Livestorm several people can't be connected with the same link. It's one access link per person.
  • If you’re creating an event in the past through the Google Calendar add-on, everything will be synced fine but not the date and time of the event. It’s currently not possible to create events in the past on Livestorm, so we’ll just set the current date and time on the Livestorm session. The same goes if you update a past event on Google Calendar that has a Livestorm event attached. The date change won’t be reflected in Livestorm.

Enable Google Calendar Integration

To use Google Calendar with Livestorm, you first need to enable the Google Calendar integration in Livestorm and install the Livestorm add-on in Google. Follow those few steps:

Go to your Livestorm  Account settings My personal apps.

Click on the Google Calendar card to open the side panel.

Click on Enable with Google to activate the Google Calendar integration.

Select your Google account and allow access to your account.

The integration is now activated! 🎉
If you create a Livestorm event on Google Calendar when the integration isn't enabled, your event won't be synchronized!

Now you must  install the add-on to enable Livestorm with Google.

Click on Install > Continue > Choose your account > Allow

That's it! Livestorm add-on is now installed, and you're good to go! 🥳

Livestorm Tip 👉 You can make Livestorm as your video conferencing solution by default or ask your administrator to do so if you have one.

Create an Event in Google Calendar

Now that you've enabled the Google Calendar integration and installed the Livestorm add-on, you can start creating your events from your Google Calendar.

The event will be created on your Google Calendar, not on your registrants' calendars. They must add it themselves.

In your Google Calendar, click on the slot where you want to create your Livestorm event.

Edit the information about your event.

Click on Add video conferencing and select Livestorm.
Refresh your browser page if you don't see the Livestorm add-on that you've just installed.
The first time you create an event from Google Calendar, you'll need to Log in to your Livestorm account and Allow access. You won't need to do it again after that.

Your event is now updated with the access link to your Livestorm event.

If you don't want everyone to see the names and emails of all the registrants, you can hide them by clicking on More options and then just untick  Invite others and See guest list. This can be useful if you're creating a webinar. 👌

Save your event in Google Calendar to see it on your Livestorm dashboard. Your Livestorm event synchronized with Google Calendar has a Google Calendar icon.

You can verify that your event is well synchronized with your Google Calendar on the event dashboard itself.

When you edit your event in your Livestorm dashboard and click on Save updates and sync, the changes will directly appear in your Google Calendar. In this example, the date has been changed. As it's a 2-way synchronization, all the changes that you will make on your Google Calendar will be automatically modified in your event in your Livestorm dashboard. 

The event title, description, start and end date (duration in Livestorm), guest list are synchronized between Livestorm and Google Calendar.  👌
Adding guests to your Livestorm event from Google Calendar will automatically add them as registrants to the Livestorm event. And vice sera,  registrants to your Livestorm event will automatically be added to your Google Calendar guest list. 🙌
Deleting your event from your Livestorm dashboard will delete it in your Google Calendar and vice versa.

In your Livestorm Calendar, you can easily spot your events synchronized with Google Calendar as they are green. Non-synchronized events are blue. 👌🏼

Create Events With Specific Settings in Google Calendar

You might want to create several events in Google Calendar with the same specific settings without doing it manually. For example, it can be useful to create several Public events to allow your attendees to join your room with a same and single access link without having to register. To do so, you'll just need to get the Livestorm event ID you want to copy the settings from.

Go to your event dashboard and copy the event ID.

Go to your Google Calendar and click on the Livestorm icon on the right sidebar.

Paste the Livestorm event ID you've just copied and click on SAVE ID.

Create your events as explained above. They will all have the same settings as the event you've just copied the ID from. 👌

To stop using those event settings, empty the Livestorm event ID field and click on SAVE ID.

Closing your Google Calendar won't reinitialize the settings. They will be kept until you reinitialize the field manually.

Join an Event From Google Calendar

Joining your Livestorm event directly from your Google Calendar is super easy and takes only 2 clicks!

Click on your Livestorm event in your Google Calendar.

Click either on Join Livestorm or on the URL and that's it you're in your event room! 🎉

Unsynchronize Your Event From Google Calendar

You can unsynchronize your Livestorm event from Google Calendar by disabling the integration.

Go to your Livestorm  Account settings My personal apps.

Click on the Google Calendar card to open the side panel.

Click on Disable app to unsynchronize the Google Calendar integration with Livestorm.

The integration is now disabled and your event is no longer synchronized with your Google Calendar.

All the edits you will make on either your Google Calendar or your Livestorm dashboard won't be synchronized with one another anymore.

You can verify that your event is well unsynchronized with your Google Calendar on the event dashboard itself.
